NHS Golden Jubilee
NHS Golden Jubilee’s Ophthalmology department conducts around 12,000 procedures per year and carries out eight different, highly specialised procedures. They have 24 surgeons, 78 clinical and theatre staff working across six operating rooms. More than 1,200 products will be logged as part of the new Scan for Safety Point of Care implementation

The challenges:
• Overcome old technology challenges
• Reduce/eliminate clinical resources undertaking daily manual tasks
• Overcome time taken to interrogate regular discrepancies
• Improve patient safety recalls
• Eliminate manual processes and manual data entry and retrieval
• Improved physical and financial management of stock and consumables
• Improve overall data integrity
Outcomes achieved
Enhanced patient safety: In the event of a product safety alert or recall, patients can be identified in minutes with the clinician able to identify which product and where is affected
Enhanced operational efficiency: Improved data and management information which supports informed decision making, driven by comparative clinical outcomes. Detailed visibility of costs involved in a procedure supports efficiencies for any cross-charging between departments
Time back: AfC Band 4 per day saved because of reduced administrative burden; data is captured electronically now rather than manually so Clinical staff no longer carry out any stock management activities, this allows them to focus on clinical duties which equates to saving of approx. £8,423 p.a
Improved stock management and traceability: reduction in stock held at max levels by approx.16% (£172,400 down to £144,800) as well as potential to reduce excess stock value by another approx. £84,000
Accurate and timeous replenishment of stock with stock levels presented in a visual format, via a dashboard. Improvement in wastage and shrinkage due to better understanding of why stock has been discarded – £1,700 recovered from supplier so far for faulty lenses
Active management of stock approaching expiry date, cost avoidance and improved stock rotation – only £1,452 (0.05%) worth of stock expired
“It should be said that accurate input from all areas in the system process, from the back door to point of care, is key in the operational effectiveness. Careful consideration of maximum levels is important, but the National IMS represents a big step forward in the control and accessibility of the data.”
